Terms and Conditions


1) Check-In

Check-in time is 4:00 p.m. (CST).  Due to our high quality standards and the spike in business levels on holiday and peak season weekends; the rental property may not always be ready for occupancy by 4:00pm. We ask for your patience in a situation where access to your unit is delayed due to necessary cleaning or maintenance work.  No refunds or discounts will be offered for a late check-in.

 

2) Check-out

Check out time is 11:00am (CST).  Late check-outs require special arrangements and may be available if the accommodations do not have guests arriving on the day of your departure. 

 

3) Reservation Deposit/Cancellation Policy

At the time of booking a credit card advance payment will be required to confirm your stay with us.  The advance payment is equivalent to two nights of your total stay value plus a reservation-processing fee. Your advanced deposit is refundable until 14 days prior to your scheduled arrival date. 

 

4) Payment in Full

Final payment or payment in full will be required at check in with a valid state-issued ID and a credit card.


5) Security Deposit Protection Plan

A Security Deposit Protection Plan in the amount of $39.00 will be collected on each reservation. This non-refundable damage waiver fee does NOT cover intentional damage, theft or breach of policies. The damage wavier is limited to a maximum of $3,000.00 unintentional and/or accidental damage per stay. This Security Deposit Protection Plan covers unintentional damages to the rental unit interior that occur during your stay, provided they are disclosed to management prior to check-out. The policy will pay a maximum benefit of $3,000.00. Any damages that exceed $3,000.00 will be charged to the credit card on file. If, during your stay at one of our Rental Properties, an Insured Person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $3,000. Certain terms and conditions apply.  Full details of the Security Deposit Protection coverage are contained in the Certificate of Insurance or Insurance Policy.  The Security Deposit Protection can be purchased up to, and including at, check-in.   By submitting payment for this plan, you authorize and request CSA Travel Protection and Insurance Services to pay directly Vacation Rentals of Northwest FL, Inc. any amount payable under the terms and conditions of the Security Deposit Protection.  Please contact Vacation Rentals of Northwest FL directly if you do not wish to participate in this plan or assignment.

 

6) Accommodation Assignment

We understand that reservation holders want the peace of mind that they will stay in the specific unit(s) they have selected at the time of booking.  We will confirm and assign you to the specific unit requested yet we will be unable to guarantee that you will end up in at that property.   There are many unforeseen circumstances that may render the accommodations unsuitable or unavailable for rent.  In this rare situation, you will be provided with the option of either a full refund or an opportunity to stay in an equivalent accommodation (if available).  We will always inform you of any changes to your reservation assignment as soon as we have properly assessed the situation. 

  

7) Pets

For all of the rental properties at Pirates Bay, pets of any kind are strictly forbidden. 

 

8) No Smoking

Smoking is not permitted in any VRNWFL properties. Violations are subject to an additional charge of $300 plus the expense of any necessary cleaning. Violations may also results in immediate eviction and forfeiture of rent.

 

9) Beach and Pool Towels

Please bring beach and/or pool towels as we do not permit bath towels or linens to be taken from the unit.

 

10) Housekeeping

Your accommodations will be cleaned and inspected to quality standards prior to your arrival.  In addition, you will receive a daily Trash, Towel, and Tidy service each day of your stay.  Daily maid service or mid-stay cleans on the dates of your choice are available to you for an extra cost Your accommodations will also be provided with all of the necessary kitchen and bathroom toiletries/amenities.  Fresh bed linens and bathroom towel sets are all provided as well.

 

11) Maintenance

During your stay we request that you promptly report any maintenance issues to the Pirate's Bay Front Desk.  Our staff will respond to your needs as soon as possible. 

 

12) Damage Policy

Guests are responsible for the property, its contents, and themselves during occupancy. Guests must lock windows and doors securely when not in the premises. Rearranging the furniture or removing any items from the unit is prohibited. After Check-Out, we will inspect the unit for damage, missing items, and abnormally dirty appearance. If we determine that damage is present, items are missing, or the unit is abnormally dirty, we will repair the damage, replace the missing items, and/or perform a deep clean of the unit at Renter's expense.  Renter authorizes us to charge the credit card on file under such circumstances. 

 

13) Key Policy

Hard keys for your unit and the pool area will be presented at check-in and must be returned at checkout. There will be a charge of $25.00 for each key not returned at checkout. 

 

14) Age Restriction

Our properties will NOT be rented to vacationing students or young adults (under 25) unaccompanied by a responsible parent or guardian. A PARENT MUST BE STAYING IN THE UNIT AT ALL TIMES. OUR RENTAL UNITS ARE MONITORED FOR VIOLATION OF THIS POLICY. ALL VIOLATORS WILL BE EVICTED WITH ALL RENTAL PAYMENTS BEING FORFEITED AND ADDITIONAL CHARGES WILL BE APPLIED! RESERVATIONS MADE UNDER FALSE PRETENSES ARE NULL AND VOID AND CHECK-IN WILL NOT BE ALLOWED. This policy includes reservations made by parents who do not check in, and/or who leave overnight during the length of the stay.

 

15) Hurricanes/Severe Weather

Should a hurricane or tropical storm threaten our area, we will receive evacuation instructions from our local governing officials and pass those instructions onto you.  If a "mandatory evacuation"order is given for this area resulting in an early departure or a complete vacation cancellation, we will refund all monies collected for the unused portion of your stay.

 

16) Security of Personal Property

VRNWFL assumes no responsibility for any acts of theft or vandalism, or other damages to any personal property.  This includes personal items left behind in the accommodation at departure.  However we will put forth every effort to recover such items for you at your request.

 

17) No Subletting

The rental property may not be sublet. Your reservation is not transferable to any other party.

 

18) Good Neighbor Policy

Pirate's Bay is a mix-use property that include both short-term guests and year round residents. Please be sure to observe all rules and regulations, which are provided for each property. All guests, as well as owners, are required to conform to all rules and regulations of the properties.


19) Property Rules and Regulations

Please remember that you are staying in someone's home during your vacation.  Please treat it with care as if it were your own.  Please observe all rules and regulations governing the use of the property you are occupying. These rules apply to both owners and guests, and failure to comply can result in eviction.
